Privacy Policy
Here you can read which personal data we collect, what we use it for, how long we keep it, and what rights you have under the GDPR (General Data Protection Regulation) — including how communication via WhatsApp fits within that.
Who we are
This privacy policy applies to the practice where you book an appointment, follow a treatment or sign up for a training via this website. For questions about this policy or about your own data, you can always contact us via the contact page.
What data we collect
Depending on what you use, we process (some of) the following data:
- Name, address, e-mail address and phone number
- Date of birth, health insurer and policy number
- Data about your treatments, complaints and progress (treatment data, notes and any documents or photos in your file)
- Appointment and registration details (date, time, chosen practitioner or training)
- Invoice and payment details
What we use this data for
We use your data to plan and confirm appointments and trainings, to properly carry out and record treatments, to draw up invoices, and to communicate with you — for example a confirmation, a reminder of an appointment, or a reply to a question. This always happens by e-mail, and if you've enabled it yourself in your details, also via WhatsApp.
On what legal basis
We process your data because it is necessary for carrying out the treatment agreement we enter into with you (booking and performing a treatment or training, and sending the corresponding invoice), and for your own WhatsApp preference based on the consent you give for that yourself.
Communication via WhatsApp
In addition to e-mail, and only if you've enabled it yourself in your client details, we also offer communication via WhatsApp — for example for an appointment confirmation, cancellation or reminder. This is always optional: you can switch this preference off again yourself at any time.
To send these messages we use Meta's WhatsApp Business Platform (Cloud API). If you choose WhatsApp communication, your phone number and the content of the message are processed for that purpose by Meta Platforms Ireland Limited. Meta processes this data as a (sub-)processor on our behalf, under WhatsApp/Meta's own privacy terms. Without your explicit preference for WhatsApp, we never share your phone number this way.
How long we keep your data
We do not keep your data longer than necessary for the purposes stated above, and we adhere to the statutory retention periods that apply to treatment and invoice data. Older data is then removed automatically or manually.
Sharing with third parties
We only share your data with third parties to the extent necessary for the purposes stated above: for example with Meta for WhatsApp communication (only at your own preference for that), with a payment provider when paying an invoice online, and with parties that technically manage the website and client data for us (hosting). We never sell your data to third parties.
Security
We take appropriate technical and organizational measures to protect your data against loss or unlawful use, and only grant access to those who need it for their work.
Your rights
Under the GDPR you have the right to access your data, to have incorrect data corrected, and to have your data deleted. Via "My account" you can, without our intervention, download an overview of all your data yourself, or submit a request to have all your data permanently deleted. If you disagree with how we handle your data, you also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
- Access: view or download an overview of all your data via "My account".
- Correction: you can adjust incorrect data yourself via "My account", or have it corrected by contacting us.
- Deletion: submit a deletion request via "My account" — we review this and then permanently delete all your data.
- WhatsApp preference: switch your own preference for WhatsApp communication on or off at any time via "My account".
Changes to this policy
We may update this privacy policy from time to time, for example due to changes in the law or in how we process data. The current version is always available on this page.
